Privacy Notice

In this Privacy Notice, a reference to “Te Pūkenga”, “we”, “our” or “us” means Te Pūkenga – New Zealand Institute of Skills and Technology trading as Te Pūkenga, a Crown Entity of the New Zealand Government, whose address is Level 2, Wintec House, Cnr Anglesea & Nisbet Streets, Hamilton 3204. Its postal address is PO Box 19400, Hamilton 3244. “You” or “your” refers to the person or persons acknowledging and agreeing to this Privacy Notice.

This Privacy Notice describes how we collect, hold, use, disclose and maintain your personal information. That will be in accordance with the Privacy Act 2020 (New Zealand) as well as our internal Privacy Policy and Privacy Procedures. You may obtain a copy of those from our Privacy Officer by emailing legal@tepukenga.ac.nz

In certain circumstances we may deal with your personal information in ways that are in addition to what is described in this Privacy Notice. However, that will always be in accordance with law. We may also notify you of those circumstances or ask for your permission.

 

What will your information be used for?

The information you provide on this site or in connection with our recruitment process is collected by us for the purpose of considering you for employment, to update you on potential future employment opportunities, for storage and record keeping, to provide a more relevant experience to you, for supporting equity and inclusion, for compliance with our legal obligations or any expectation of the New Zealand Government or its agencies.

If your application is successful, we will retain your information as part of your employment records. If your application is unsuccessful, we may retain your information on file and may contact you if a suitable employment opportunity arises or if there are other positions available that we consider may be of interest to you.

 

What information do we collect about you?

To be considered for employment or to be updated on employment opportunities, you may be asked to provide us with personal information. This information may include but is not limited to:

  • Your name
  • ​Address
  • Contact details
  • Resume
  • Educational background
  • Employment history
  • Your interests, preferences and aspirations
  • Results from competency testing
  • Health and medical information (for the purpose of understanding appropriate provision for your needs)
  • Referees
  • Professional licenses or affiliations held
  • Results of police checks

If you choose not to provide any of the information requested, we may be unable to send you information, fully process your application or properly consider you for employment.

All information submitted to us must be true and correct. You must not post or upload inaccurate, incomplete, false, or misleading information.

 

How your information will be collected?

We collect information from you whenever you make that available to us. For example, we may collect information that you provide to us in recruitment application forms, communications, interviews or whenever you interface with our digital systems and websites. We may also collect personal information about you from others, where you permit that (for example, your referees) or where we are legally required to do so.

 

Websites and digital systems

When you interact with our websites or digital systems we may also collect information about you through cookies and third party technologies such as Google Analytics. This may include:

  • the IP or internet address of your computer, server and browser
  • your location
  • search terms, queries and information inputs
  • the date, time and length of your visit
  • your operating system (for example, Windows or Mac)
  • the pages you view and links clicked
  • the type of browser and screen resolution you use
  • websites you visited before or after using our website
  • any other interactions that you have with our website or digital system

 

About cookies

A cookie is a small amount of data that is sent to your browser from a web server and stored on your computer, then sent back to the server by your browser each time you access certain sections of websites and digital technologies. 

 

Storage and access of your information:

We may store personal information that we collect:

  • in digital or non-digital formats (for example, within physical filing systems)
  • on our premises or outside of our premises
  • either directly, with our related entities or through our service providers (including service providers that provide physical or digital data storage facilities)
  • within or outside of New Zealand

 

We only keep your personal information for as long as required. We will keep your personal information:

  • until we no longer have a valid reason for keeping it
  • for as long as required by law. For example, to meet our obligations under the Public Records Act 2005.

 

Who your information may be disclosed to?

We may disclose the information you submit to our staff, your referees, our related organisations (including the New Zealand Government and its agencies), our recruitment agencies, and other relevant organisation who perform services for us or in such other manner as permitted under the Privacy Act 2020. Where we disclose your personal information to others, they may also need to disclose that information to their service providers and related organisations for the purposes of undertaking their legitimate functions and activities, for providing their services or for storage and record keeping.

The disclosure of your information is for the primary purpose of processing your application for employment and/or identifying other employment opportunities for you but may also include those other purposes referred within this Privacy Notice.

 

Your rights:

Under the Privacy Act 2020, you may request access to, and correction of your personal information held by us (a charge may be payable for making your personal information available). You may make those requests to peopleandculture@tepukenga.ac.nz.
